Problem

A US-based consumer goods company with a global footprint experienced significant growth in sales revenue and operational footprint over the previous four years, which resulted in the outgrowing of its information technology and having disparate and “homegrown” legacy systems based on old technology and products. The integration of these vital business components was insufficient, and the functional requirements of the business were not supported. The organization recognized that it had significant business and technology issues due to the lack of proper business systems.

Solution

The company put a great deal of effort into understanding the ROI of each and every option regarding the system installation. Therefore, the organization provided enough information about the business to the vendors in the initial RFQ. Once the RFQ, or selection process agreement document, was signed, each vendor also had a short timeline to perform due diligence and provide specific “VENDOR SELECTION DELIVERABLES” that would provide system installation-specific information. As a part of the selection process, the vendors were objectively and methodically evaluated against a list of functional criteria, which included systems-related requirements and questions. After all deliverables were received, the organization determined that a hosted solution would be the best fit for the organization based on factors such as TCO, improved flexibility for growth, existing systems, and infrastructure shortcomings, hardware, and installation cost to build-out to support on-premises.

Result

The intentional focus on the “systems” component of the ERP project during the selection process allowed the organization to be very proactive with the systems installation decisions and project plan. The detailed review of each vendor throughout the process allowed the organization to determine that one particular vendor’s technology stack was antiquated. Thus, the organization was able to find a solution that was as seamless as possible in terms of technology, integrations, and interfaces in addition to functionality. The selection process described in this case allowed the company to be very clear on what they were getting early in the decision-making process, resulting in a decision that the organization was able to place confidence.
